Rules and Conditions

Terms & Conditions
  1. The terms below are an agreement between you and NSW ANTHRO GROUP INC (NSWAG). Each time you use our website, buy our products, use our services, or attend any events we host, you agree and accept these terms. NSW ANTHRO GROUP INC reserves the right to change these terms at any time. Your use of our services after these revisions signifies your acceptance and agreement to be bound by the revised terms.
  2. The Aurawra brand, including but not limited to the website, logos, characters, props, and symbols, is the property of NSWAG and are protected by Australian copyright and trademark laws.
  3. By registering to attend the Convention, all guests agree to indemnify and hold harmless the Convention and NSWAG, its staff, volunteers, agents, representatives, and all other employees from any claim for personal injuries or other damages arising out of any participation in the Convention events, activities, or attendance to the Convention itself under any circumstances, unless otherwise required by applicable law.
  4. During an NSWAG-operated or auspiced event, attendees are expected to adhere to or follow any reasonable request or direction given by a member of the staff, volunteers, security, hotel staff, or local authorities.
  5. NSWAG reserves the right to deny entry, revoke registration, or remove from the event facilities any person who, in our sole and absolute discretion, is behaving or threatening to behave in a manner that we reasonably consider to be disruptive of the event or in contravention of the rules.
  6. Standard registrations are limited to four per purchaser. For Sponsor and Benefactor registrations, you can only purchase one ticket. If you require more than the above-specified quantities, you must notify us, or your order may be cancelled. This is done to prevent scalping.
  7. In the event of the organisers revoking an attendee’s registration due to breach of the rules and conditions, NSWAG is not required to refund that attendee all or part of the registration fee unless required by Australian Consumer Law.
  8. Registration to the Convention is refundable and transferable up to 60 days before the Convention. If you require a refund on your registration, please contact the staff through the Convention’s email. Transfers incur a $5 administration fee. Registration details cannot be changed after the refund and transfer period closes. There is a non-refundable deposit of 7% of the ticket or merchandise price for each refund.
  9. Past the refund closing date, NSWAG will only offer a refund or exchange of a badge if an event is cancelled, rescheduled, or significantly relocated (and you cannot or do not wish to attend the rescheduled or relocated event) or to the extent otherwise required by law.
  10. Registration to the Convention is general admission and not a guarantee of access to all content, events, and persons hosted by NSWAG. The schedule is subject to change due to unforeseen circumstances, space availability, personnel availability, or specific events being cancelled on short notice by request of NSWAG, the hotel staff or the hosts. Guests of Honour may be absent due to availability, personal needs, illness, or schedule conflicts.
  11. Any goods, merchandise, or products that are not collected and remain uncollected for a period longer than 60 days after the Convention end date will be forfeit and returned to the ownership of NSWAG. NSWAG will make efforts to contact those who have purchased goods, merchandise, and products through NSWAG to arrange an appropriate delivery method. If NSWAG cannot make contact with the buyer after a 60-day period, the items will be forfeit and considered the property of NSWAG. NSWAG reserves the right to arrange delivery of goods after this period at their discretion, including the requirement of a delivery fee to be paid by the delivery recipient unless otherwise indicated by NSWAG.
  12. NSWAG is not required to provide a refund or alterations if the details of a merchandise order are incorrectly provided by you as the purchaser and/or the cutoff date for merchandise orders has been missed.
  13. The Convention is a strictly 18+ event. It is a requirement upon registering for the event that you provide your full and correct legal name and are prepared to provide legal proof of identification upon picking up your badge. NSWAG reserves the right for the Convention staff to refuse event access if you cannot provide identification, and NSWAG are not required to provide you with a refund if this is the case. If your legal name has changed between your registration purchase and the event date, you can modify this within the registration system yourself to correctly reflect your current valid identification.
  14. NSWAG and the Convention staff retain the right to reject the claim a person is over 18 years of age where it is contrary to the evidence at hand. Please ensure you bring legally recognised and current proof of age.
  15. Attendee badges are to be worn at all events. NSWAG retains the right for the Convention staff to revoke any attendee access to an event if they cannot provide their badge as identification. If a badge is lost or damaged, the owner should report to Convention Operations (Con-Ops). Each registration badge is a revocable licence to attend the event. Each registration badge must be used by the same person for each day of the event. Each badgeholder agrees to comply with all rules and regulations of the event.
  16. NSWAG retains ownership of all attendee badges until the conclusion of the Sunday night event and may cancel the badge or withhold it if your registration is revoked for any reason. Upon conclusion of the event, attendee badges become the sole property of the attendee registered to that badge unless otherwise declared by NSWAG prior to this time.
  17. NSWAG reserves the right to refuse entry or participation in any auspiced events to persons who are currently sick or unwell and are showing visible symptoms at any point in time during the event. You may be eligible for a refund of the ticket price minus any processing/administration fees if you are able to demonstrate genuine illness via a medical certificate. Please email the Convention , detailing the situation with relevant documentation.
  18. While all attempts will be made to make sure attendee safety is catered for, NSWAG and the Convention staff are not accountable if you suffer any allergic reaction, medical affliction, or injury at any of their associated events due to negligent or unlawful behaviour.
  19. If a registered attendee name, nickname, or moniker is deemed controversial or offensive by an organiser, NSWAG reserves the right to arrange a modification to the badge name with the purchaser either prior to or at the convention.
  20. In purchasing this badge and in consideration for being admitted to the event, each badge holder consents to being recorded (by audio, visual, and/or other means) and authorises and permits NSWAG, the Convention , and their designees, which include but are not limited to all sponsors, exhibitors, and contractors to use and authorise the use of their name, voice, likeness, and all reproductions thereof by any means and in all media now and hereafter for all purposes worldwide in perpetuity.
  21. Any damages incurred to an event space or the belongings of other staff, attendees, or persons (including yourself) as a direct result of negligent or unlawful actions on your behalf are not covered by NSWAG or the Convention. You will be expected to make reparations and pay for damages if you cause them. Some of the equipment we bring and use can be quite expensive, so do not attempt to move equipment, assets, or assist with this unless you are a verified staff member, authorised volunteer, or are given permission by a verified member of staff to do so.
  22. The Convention attendees, volunteers, and general staff do not speak on behalf of the Convention or NSWAG; only members of the board of directors that make up the committee can make executive decisions and speak officially on behalf of the Convention and any associated NSWAG auspiced events. The Convention attendees, volunteers, and general staff are allowed to speak of their own views and experiences; however, these do not reflect the views or goals of the Convention or NSWAG as an entity.

Behaviour & Code of Conduct
  1. If your actions, behaviour, or dress disrupt the Convention, make others uncomfortable, or harm the Convention’s relationship with guests, the venue, or the public, then the Convention can revoke your badge and exclude you from the Convention or future events.

Badges

  1. When you arrive at the Convention and pick up your registration, you will be given an official Convention Badge. This badge is your identification for any and all events that you attend during the Convention. You will be required to produce this for entry to the Conspace and any scheduled events, and entry may be denied to you if you cannot produce your badge.
  2. Using another person’s badge, producing a counterfeit badge, or entering without a badge may result in you and the owner of the badge being required to leave the Convention space, the badge being revoked, and involved persons excluded from attending future events.

Behaviour

  1. You are required to obey all laws that apply in Australia and the State of New South Wales. The Convention occurs in a public space, and as such, you must act in accordance with the appropriate standards of public decency.
  2. Smoking or vaping is not permitted within the Conspace. Please use appropriate areas designated for this activity.
  3. Be nice to each other; if it’s not nice, keep it to yourself. Please be considerate when queuing—do not block doors or elevators, pathways, and high-traffic areas. Do not act in a way that poses a danger to the safety of others, including tackling or throwing objects.
  4. Threats, harassment, and stalking are not tolerated by the Convention.
  5. Speech of any form that promotes discrimination, harassment, or violence against others based on race, gender identity, sexual orientation, ethnicity, age, religion, or nationality is strictly prohibited. Dress or symbolism attached to ‘alt-right,’ ‘alt-furry,’ or any other extremist groups are forbidden to be worn, shown, or propagated at any NSWAG-associated or auspiced events. We will not tolerate intimidation or harassment of attendees for any reason.
  6. Costumes, no matter how they appear, do not indicate any kind of consent. Respect personal space and do not touch another person without their explicit and unambiguous consent. Be mindful that many costumes have limited visibility, and they may not have seen you even if they appear to be looking at you.
  7. Sexual behaviour in or around the Convention space and events is strictly prohibited. Do not display, draw, or otherwise show any explicit artwork in or around the Conspace except in the Dealers’ Den. This prohibition extends to badges, room hangers, stickers, and identifiers.
  8. You must maintain proper hygiene. You may be required to leave the space if you are the source of a noticeable smell unless it is caused by a medical reason.
  9. Drones may not be used without permission from both the local authorities and the NSWAG Committee. If permissions are provided, the user is able to use drones only if they hold the appropriate licences to operate one.

Dress

  1. You are required to keep all dress and clothing reasonably inoffensive. A dress code applies at this Convention and a person deemed in breach of this code or the dress code may be asked to leave the event. All costumes are subject to this code.
  2. If you are concerned that an attendee is in breach of the Convention’s rules, you should speak to Convention Staff. Convention Staff wear blue high-visibility vests around the Conspace and can be found in the Convention Operations (Con-Ops) room.

Costuming

  1. Costumers and fursuiters are encouraged to ask for the assistance of a “handler,” a person without visual impairment to assist them in navigating crowded and public spaces.
  2. If you are in costume and you feel unwell, seek assistance immediately. It is not worth your well-being for a photo or walk. Notify any Convention staff or volunteers and ask for the assistance of other attendees.
  3. “Headless” areas are for attendees wearing costumes known as ‘fursuits’ and their designated handlers only. If you are using this space, please be courteous and share the space with others. You may not store your fursuit or other personal effects in a “headless” space while you are not wearing your ‘fursuit’.

Stickers

  1. The Convention strictly prohibits the application of stickers or marks on any property not intended for that purpose. You are responsible to the public and the Convention for the cost of any remediation, loss, or damage if you do so. Our sticker bulletin board in the Conspace is the space for stickers and marks, provided your stickers remain decent.

Photography and Media

  1. Photos and audiovisual media (Photos) are taken at this Convention. Anyone is welcome to take Photos for personal and non-commercial uses. You are required to make best efforts not to photograph or video people who don’t want to be filmed. You should always ask the main subject whether a Photo is OK and be prepared to blur out or crop background persons if asked to do so. In general if someone asks you to delete a photo we ask that you comply with this request.
  2. By attending the Convention, you authorise the Convention’s staff members and contractors to take your picture in the Convention area for promotional purposes. While we always try to ask first, we cannot guarantee that your photograph will not be taken. You have no ownership or claim over any pictures or media taken by Convention staff.
  3. You grant a license to the Convention to, in connection with any photography or media taken for the above purpose, use that material. If you find yourself in a promotional picture or media and want to be removed, please reach out to Convention staff and we will make endeavours to blur or remove you from the material where it is reasonable for us to do so.
  4. Photos and video are prohibited in some areas of the Convention, including the Headless Lounge, Con-Ops, and the Dealers’ Den. Photos in the Dealers’ Den may only be permitted with the express permission of every dealer whose wares or persons are depicted.
  5. The Convention has a separate media policy that applies to all journalists, media photographers, and any other members of the press.

Inspection

  1. The Convention’s security, volunteers, contractors, and staff can require you to provide for inspection any bags and their contents that you bring into the Conspace. Refusing to allow a bag inspection may result in you being asked to leave the event.

Dress Code
  1. All clothing must be reasonably inoffensive. The Convention requires that in its spaces you wear street-appropriate clothing (at minimum a shirt, pants, and footwear).
  2. Certain areas of the hotel and Convention may require enclosed footwear.
  3. Swimwear is only permitted when at appropriate hotel facilities, such as a pool or spa.
  4. Clothing or accoutrement that amounts to “Fetish Gear” must not be worn inside the main common convention spaces or public spaces in the hotel. This includes but is not limited to leashes, harnesses, full-body rubber or vinyl, age-play-related costume, electric shock devices, training muzzles, bondage or sense deprivation wear, gags, gimp masks, or plug-style tails. The following exceptions apply, provided always that you comply with this dress code as a whole:
    1. Collars which are not shock collars or choke collars; and
    2. Headwear referred to as “pup hoods.”
  5. For the avoidance of doubt, any dress that is revealing, indecent, or depicts indecency is not permitted.
  6. Weapons, either real or fake, are not permitted. This includes but is not limited to prop or replica weapons (including swords), water guns, foam guns, or Silly String.
  7. If you are uncertain of something you wish to wear or bring to the convention space, please visit Con-Ops first, and the staff will be happy to answer any queries.

Drug and Alcohol Policy
  1. Drugs and alcohol are not permitted in or around the Conspace except if purchased from the bars in the hotel.
  2. Controlled substances are illegal in New South Wales. If we suspect that you possess or are intoxicated by illicit or illegal drugs, you will be required to leave the event. We may exclude you from all future events run by NSWAG and we may forward your details to NSW law enforcement.
  3. The Convention is hosted in a licensed venue. It is against hotel policy to consume externally purchased alcohol in the common spaces of the hotel. Alcohol purchased outside the venue may only be consumed in private (for example, in your hotel room).
  4. Certain events are held in alcohol-free zones. It is illegal in the state of NSW to consume alcohol in these areas. Attendees found consuming alcohol in an alcohol-free zone will be directed to leave that area immediately and may face further consequences (including but not limited to a ban from the Convention and future events).
  5. If you supply or sell liquor to minors or if you supply or sell drugs or controlled substances, you will be required to leave the Convention and will receive a permanent lifetime ban from further NSWAG-run and auspiced events. Your details will be forwarded to the hotel and to NSW law enforcement.
  6. If Convention Staff reasonably believe that you are intoxicated (including if you act in a disruptive manner), you may be required to leave the Convention space immediately. Failure to comply may result in your removal from the event and potential bans from attending future NSWAG events.

Harassment Policy
  1. All attendees have the right to feel safe and respected at the Convention. The Convention aims to provide a harassment-free experience and does not tolerate the harassment of con-goers in any form. This policy applies to all convention attendees, staff, volunteers, contractors, and security. Everyone is required to treat others with dignity, courtesy, and respect.
  2. Harassment includes, but is not limited to:
    1. Offensive verbal comments (including in relation to protected attributes, including gender, gender identity, physical appearance, body size, sexual orientation, disability, race, religion, political affiliation, parental status, or pregnancy);
    2. Sexual images or discussion of explicit sexual activity;
    3. Intimidation, stalking, or following;
    4. Unwanted photography, recording of video or audio;
    5. Sustained disruption of Convention events;
    6. Inappropriate physical contact; and
    7. Unwelcome sexual attention.
  3. Any person to whom this policy applies is required to stop any harassing behaviour immediately when requested to do so.

Reporting Harassment

  1. If you are harassed, notice someone else is being harassed, or have any concerns about this policy, please immediately contact Con-Ops or any volunteer or staff of the Convention.
  2. If you report an incident, you may be asked for details including your identifying information, information used to identify the harasser, the nature of the behaviour and its details, the time and place of the incident, and any information that may be used to identify persons involved. If the Convention receives incomplete information, it or the appropriate authorities may be unable to respond to the incident.

Enforcing this Policy

  1. The Convention will assist you in contacting law enforcement and otherwise investigating the matter with a view to helping those experiencing harassment feel safe for the duration of the Convention. The Convention, through its designated staff and volunteers will take all reasonable steps to enforce this policy, including:
    1. Warnings: The Convention may issue a verbal warning to a person under this policy where their behaviour, in the judgment of the relevant decision-maker, has violated this anti-harassment policy. The warning will be reported to the Convention by way of written notice as soon as practicable after the issuance of the warning. The decision-maker will be required to collect the following information:
      1. Identifying information of the impugned person,
      2. Time the warning was issued,
      3. The behaviour for which the warning was issued,
      4. The time and place the behaviour took place,
      5. Any relevant circumstances, and
      6. Identifying information of any witnesses or victims to the incident.
    2. Ejection: The Convention may require a person to leave the Convention and revoke their badge. The ejection will be reported to the Convention by way of written notice as soon as practicable after the issuance of the warning. The Convention may exercise this power where a person subject to this policy:
      1. continues to harass after being instructed by the Convention to cease doing so,
      2. engages in a pattern of harassing behaviour, or
      3. engages in a singular serious offence.
  2. Where a person subject to this policy fails to provide requested information under this policy, they are required to leave the Convention and their badge is revoked.
  3. The Convention may exclude a person subject to action under this policy from attending future conventions and refer the behaviour and relevant documentation to law enforcement for investigation or to the hotel.

Convention Events

  1. The Convention holds certain events or has material for sale through its dealers or artists, which may depict the harassment of characters, sexual activity, or contain a discussion of sexual activity. The Convention does not consider these to be harassment provided they:
    1. disclose the nature of the event to attendees and provide any relevant content disclosure or warning;
    2. provide an opportunity for participants or attendees to halt or exit at the first reasonable juncture;
    3. the harassing content relates to the experience of characters and not persons subject to this policy, irrespective of whether that character is said to be a proxy to a person subject to this policy, and
    4. the event is held in the space allocated by the Convention to that event.

Hotel Rules
  1. Attendees may not enter service areas of the hotel unless on behest of hotel staff. This includes, but is not limited to, backstage areas, service elevators, emergency exits, or anywhere that is defined as “Staff Only.”
  2. Do not attempt to overload the elevators, and do not jump or cause any commotion in the elevators.
  3. It is strictly forbidden to throw, dangle, or hang anything over any balcony, window, or any elevated location in the hotel.
  4. Consumption of any food and drink purchased outside the hotel cannot be consumed on hotel property, with the exception of within your own private room.
  5. Disabling or deliberately triggering any form of fire protection system or security system (such as smoke detectors, door alarms, or sprinklers) is strictly prohibited.
  6. No sleeping in the lobby, hallways, or convention areas. If you don’t have your own room, please do not attempt to stay at the hotel.
  7. No large electrical devices or appliances are to be operated in rooms, including heating or cooling devices. Small fans, phone chargers, laptops, or tablets are acceptable. If you require anything larger, we encourage you to check with the hotel beforehand.
  8. No pets or animals are allowed inside the hotel. Only official assistance animals are permitted.
  9. Sale of goods or merchandise outside the Dealers’ Den or Artist Alley is not permitted without permission from the NSWAG Committee.
  10. Display of Not Safe For Work (NSFW) materials is not permitted in public areas of the hotel, including but not limited to on doors, in hallways, or as part of flyers, posters, or stickers.
  11. Use of stickers on any public or hotel property is prohibited and is considered vandalism. This can be reported to the local authorities.
  12. Private gatherings in rooms are at the risk of the room owner. Complaints may lead to consequences with the hotel. NSWAG will not support you in any action taken by the hotel against you.
  13. You must comply with all rules of the hotel, including as to the state of your room. Dispose of your garbage responsibly and don’t leave a mess; you are liable for any extra costs if your room is not left in an appropriate state, including if that arose out of the behaviour of other attendees.

Dealers’ Den, Artists and Crafters

These rules apply to all Dealers, artists, and craftspersons offering commercial or gratuitous artistic services or items for sale.

  1. The Convention has a Dealers’ Den area available for Artists and Crafters to sell their goods over the course of the convention. These spaces are allocated by the Convention in advance and are reserved for designated dealers only (Dealers). Availability will be announced via our official website and social media channels. These spaces are subject to rules, including masking and ‘quiet hours.’
  2. It is a term of dealing at the Convention that Dealers conduct themselves in accordance with provisions set out in your “Info Pack” titled “Getting Ready to Deal at Aurawra.” Failure to comply with your obligations may result in losing your table, blacklisting from future Dealers’ Dens, or being blacklisted from the Convention.
  3. The Convention provides an Artist Alley available for artists to take table commissions or sell small items. Table space is allocated on a first-come first-served basis and at the discretion of the Convention. It is not intended to be a second Dealers’ Den and table banners or customising table space are prohibited. The Artist Alley operates in accordance with its terms as published and available at the Alley and you may be asked to leave the Artist Alley if you do not comply with those terms or any direction given by Convention staff.
  4. Please be aware we do not have any other spaces dedicated for sellers besides the Dealers’ Den and Artist Alley. If you set up for trade in another convention space, you will be asked to pack up and leave the area. Opening for commissions using your own social media profiles during the event and finding a place to sit down and do art is fine. Appropriating a chill-out space for selling goods is not.
  5. NSW law prohibits the sale or solicitation of items or services (Hawking) on public land without approval. The hotel and the Convention do not permit Hawking on private land and in Conspace unless approved by the Convention. You may not sell your wares in any public spaces around the hotel or in spaces not approved by the Convention. NSWAG and the Convention accept no liability for any conduct of its attendees in this respect.
  6. The Convention does not permit Hawking. If you attempt to trade, you will be required to leave. Opening for commissions using your own social media profiles during the event and finding a place to sit down and do art is acceptable.
  7. Although the Dealers’ Den and Artist Alley are hosted in private areas, the Convention requires public decency in the conduct of trade. Display or sale of merchandise of a nature that would be considered illegal in the state of NSW will lead to the offender being removed from the event, receiving a ban from further NSWAG-run or auspiced events, and their details will be forwarded to NSW law enforcement.
  8. Materials or goods deemed offensive or unhygienic by the organisers are not allowed and will be asked to be removed from display and sale; failure to do so may result in further action being taken.
  9. Due to the hotel’s food and beverage policy, no food or beverages are permitted to be sold.

Media Policy
  1. All journalists, media photographers, and any other members of the press are required to display an official Aurawra Press Pass and must be accompanied by a NSWAG Committee Member at all times while in the venue. Members of the press who have not been issued a Press Pass may not conduct interviews or take photographs, audio, or video footage.
  2. You must apply for an Aurawra Press Pass 45 days before the Convention commences. The last date that an Aurawra Press Pass will be issued is two weeks before the Convention.
  3. If members of the media are present, attendees must act responsibly. All opinions are of a personal nature and are not representative of the views of NSWAG, its individual staff members, or the Convention. Media representatives who do not have a Press Pass and are not escorted by an NSWAG Committee Member, should be reported to the Convention staff immediately. Do not speak to any unbadged and unescorted members of the press.
  4. Convention attendees should be aware that audio and/or video recordings may be made in event areas and that their likenesses may appear in those recordings. Individual attendees agree to assign without compensation the use of their likenesses at the event for the use of promotional material.
  5. NSWAG grants you the right to use videos and photos you have taken at the Convention for private and/or non-commercial purposes. Any clips not officially released by NSWAG that are used in contravention to the above may lead to you being banned from future NSWAG-operated or auspiced events.
  6. While we encourage people to keep personal memories of their time at our events, it is a breach of copyright to release any performance material that is not your own. This includes, but is not limited to, panels and events, including comedy and musical performances. Any breach of this law will be reported to the appropriate authorities and may result in you being banned from future NSWAG-run or auspiced events.

Volunteers

Aurawra will be a large event with a lot of attendees. To support the efforts of our staff, we will be giving people the opportunity to volunteer their time to help make sure the Convention runs smoothly.

This role requires responsibility and also requires you to sacrifice some of your time at the convention to ensure others have the best time possible. If you think you have what it takes to be part of this dynamic team, you can apply through Aurawra’s website.

  1. As volunteers, you will answer to the Aurawra Personnel Manager or one of our Volunteer Supervisors and work to a roster. You will be expected to be punctual, responsible, and friendly to convention attendees and members of the public.
  2. You will be expected to work at least ten (10) hours on our volunteer roster over the duration of the event to qualify for the rewards that are given for your service. While we will set out to be fair on the disposition of duties and will attempt to work with you as best we can to make sure you still get to be involved as an attendee, you may be required to work when you wish to be elsewhere.
  3. Relinquishing or abandoning your duties as a volunteer negates any reward or compensation that would have been provided to you as a volunteer, and you may be refused the opportunity to work as a volunteer at NSWAG-run or auspiced events in the future.
  4. You will be expected to attend pre-event briefings if necessary, particularly for larger events. Not showing up to a briefing will be considered the same as abandonment of duty.
  5. We ask that if you know you will be absent, or if something happens that prevents you from performing your volunteer duties, let the staff know as soon as possible.

Masking Policy
  1. It is a term of entry into the Dealers Den and other areas as determined by the Convention that you wear a suitable face mask. Persons refusing to wear a mask in mandatory areas will be required to leave said area.
  2. It is highly recommended that any staff, volunteers, and attendees taking part in any NSWAG-run or auspiced events are up to date on their vaccinations and are double vaccinated against the COVID-19 virus.
  3. Masks are strongly recommended in all areas of our event spaces to help prevent further spread of disease.
